Square into QuickBooks stopped suddenly? In QuickBooks Online, open the Square app under Apps and reconnect it. Intuit changed its Square connection in 2025 and 2026, and the sources we read disagree on the details, so check the app's status first. Intuit's June 2025 product update says a new Square Connector replaced Connect to Square. An Intuit community reply dated 29 Jun 2026 says Connect to Square support ends after 24 Jul 2026. We couldn't confirm which of the two apps a stopped sync belongs to, or what caused any one owner's problem.

Payments and tills into your books

These two tools take sales from your payment app or till and post them into Xero or QuickBooks Online for you. Both have been around for several years.

Check the built-in links first

Some payment apps already have a link to your books. The details below come from each maker's own page.

  • Square into Xero: Xero's Square app posts a daily sales summary. Available in Australia, the UK, Ireland, the US and Canada. On the Xero App Store since February 2020, 4.23 from 106 (checked 13 Oct 2026).
  • Square into QuickBooks Online: Intuit's Square Connector is free. See the tip above for what changed.
  • Stripe into Xero: Xero's Stripe app puts payouts and fees in your bank feed so you can match them. On its Xero Australia listing it shows 2.47 from 383 (checked 13 Oct 2026). The complaints visible there are about fees, held funds and no human support. None are about syncing.
  • PayPal into QuickBooks Online: PayPal's Accounting Sync sends sales, fees, refunds and transfers into QuickBooks every day. Its article, dated 15 Jun 2026, doesn't state a cost.
  • SumUp and Zettle into Xero: both have their own link, described on their UK pages: SumUp and Zettle.

Shop or industry software with no sync

Some shop, workshop and dealer software has no link to Xero or QuickBooks. You export a file and your books take it from there. There is one tool for Xero, and a free route for both.

The free route: a daily summary journal as a CSV file

This works for Xero and QuickBooks Online, and for any software that can print a daily sales report.

  1. Run one day's takings report in your shop or industry software: sales, tax, refunds, card fees, and the total for each payment type.
  2. Put it in a CSV file as one journal. The debits and credits must add up to the same total. For QuickBooks Online the columns are journal number, date, account, description, debit and credit.
  3. In QuickBooks Online, go to Settings, then Import data, then Journal Entries. Turn account numbers off first, and write sub-accounts as Parent:Sub.
  4. In Xero, go to Accounting, then Manual journals, and use the import option with Xero's template. This import doesn't accept bank, accounts payable or accounts receivable accounts, and it converts tax-inclusive amounts to tax-exclusive.
  5. Ask your bookkeeper which account the takings should post to before your first import.

The QuickBooks steps come from Intuit's help article. The Xero details come from Xero's Ideas forum and third-party guides, because we couldn't open Xero's help pages. Check Xero Central for the current steps.

Bank feed problems

Missing, doubled or stuck bank lines. Xero and QuickBooks Online both have free fixes built in, so try these before you pay for anything.

  1. Duplicates in QuickBooks Online. Go to All apps, then Accounting, then Bank transactions, and open the bank account. For a duplicate on the Pending tab, tick it and select Exclude. Then open the Excluded tab, tick it and select Delete. For a duplicate you already categorised or matched, go to the Posted tab, tick it and select Undo, then Exclude, then Delete. Intuit says Delete is permanent, so check which line you are deleting. Also check that the old card's feed is no longer connected, because two feeds will send the same lines twice.
  2. Error 324 after a new card number or account details. In QuickBooks Online, select Fix now, sign in to your bank, choose All Accounts, and map each one to the existing QuickBooks account. If that fails, disconnect the account and add it again, mapping it to the existing account. For a closed account, disconnect it under Manage connections. Intuit's article doesn't cover error 106, so ask your bank and QuickBooks support about that one.
  3. Duplicates in Xero. Xero doesn't remove them for you. It marked a request for that as Not planned on 16 Jun 2025. Run the Duplicate statement lines report to find them. The Statement exceptions report, in the Bank Reconciliation pack, lists lines Xero already removed as duplicates. Some users say Xero has removed lines that weren't true duplicates, so compare the results with your bank statement.
  4. Missing lines in Xero. Check Xero's Bank Feeds Disruptions page and the Bank Accounts widget on your dashboard. Where it applies, renew your bank connection (about every 90 days). Find the gap on the Reconciliation Report, then import a bank statement (CSV template or OFX file) for the missing dates only. Don't import dates your working feed already covers, because that creates duplicates.
